Truehand Technologies LLC (“Truehand,” “we,” “us,” or “our”) provides TimeSpace, a workforce-management platform that includes mobile applications, web applications, administrative tools, websites, and related services collectively referred to in this Privacy Policy as the “Services.”
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when individuals use TimeSpace or interact with our related websites and support services.
TimeSpace is designed primarily for businesses and their authorized employees, managers, administrators, and representatives. When an employer or other organization provides access to TimeSpace, that organization is referred to in this Privacy Policy as a “Business Customer.”
1. Our Relationship with Business Customers
Business Customers use TimeSpace to manage workforce-related activities such as employee scheduling, timekeeping, attendance, workplace locations, and related business operations.
For personal information processed by TimeSpace on behalf of a Business Customer, the Business Customer generally determines:
- Why the information is collected;
- Which individuals may use TimeSpace;
- Which TimeSpace features are enabled;
- Who may access workforce records;
- How long workforce records must be retained; and
- How access, correction, and deletion requests should be handled.
In those circumstances, Truehand acts as a service provider or data processor on behalf of the Business Customer.
Business Customers are responsible for providing any notices and obtaining any permissions required by applicable employment, privacy, location-tracking, biometric, wage-and-hour, and workplace-monitoring laws.
For information we collect for our own business purposes, such as website inquiries, support communications, security records, and our direct relationship with Business Customers, Truehand determines how the information is processed.
2. Information We Collect
The information collected through TimeSpace depends on the features enabled by the Business Customer and how an individual uses the Services.
Account and Profile Information
We may collect:
- Name;
- Email address;
- Telephone number;
- Employee or user identification number;
- Job title, role, department, or team;
- Assigned workplace or business location;
- Employer or organization name;
- Username and authentication information; and
- Account permissions and access roles.
Passwords are stored using security controls intended to prevent them from being read in their original form.
Scheduling and Workforce Information
We may collect or process:
- Work schedules;
- Shift assignments;
- Scheduled work locations;
- Availability information;
- Shift changes and scheduling requests;
- Clock-in and clock-out records;
- Meal and rest break records;
- Attendance information;
- Timesheets;
- Scheduled and actual hours worked;
- Manager approvals and corrections;
- Timekeeping exceptions or potential violations;
- Notes associated with schedules, shifts, or time records; and
- Other information submitted by a Business Customer or authorized user.
Location Information
TimeSpace may collect precise or approximate device location information when location-dependent features are used.
Depending on the features enabled by the Business Customer and the permissions granted on the device, location information may be collected:
- When an individual attempts to clock in or clock out;
- When TimeSpace verifies whether a device is within an approved work location;
- When an individual interacts with location-related features;
- During a scheduled shift when background location or geofencing features are enabled; or
- When diagnosing problems with a location-dependent feature.
Location information may include:
- Geographic coordinates;
- Device-reported accuracy;
- Date and time of the location reading;
- Approved workplace or geofence information;
- Whether a work event occurred within an approved location; and
- Technical information used to detect inaccurate or manipulated location readings.
TimeSpace uses location information to provide workforce-management and location-verification features. We do not use precise location information for advertising, sell it to data brokers, or use it to track an individual’s activities for purposes unrelated to the Services.
A device’s operating system allows users to control location permissions. Disabling location access may prevent location-dependent features, including location-verified clock-ins, from working correctly.
Business Location Information
Business Customers may provide:
- Business names;
- Street addresses;
- Geographic coordinates;
- Worksite descriptions;
- Geofence boundaries;
- Operating hours; and
- Information about locations where employees are authorized to work.
Device and Technical Information
We may automatically collect:
- Device type and model;
- Operating system and version;
- App version;
- Language and time-zone settings;
- Internet Protocol address;
- Device or app identifiers;
- Push-notification tokens;
- Login dates and times;
- Feature usage information;
- Error reports;
- Application logs;
- Performance and diagnostic information; and
- Security events.
We use this information to operate, secure, troubleshoot, and improve the Services.
Biometric Authentication
TimeSpace may allow users to authenticate through device-supported features such as Face ID, Touch ID, or Android biometric authentication.
When device-based biometric authentication is used, the device operating system performs the biometric comparison. Truehand does not receive or store the user’s fingerprint, facial image, or biometric template. We may receive confirmation from the device that authentication succeeded or failed.
This section does not apply if a Business Customer uses a separate identity-verification system that collects biometric information. Any such system should provide its own disclosures.
Communications and Support Information
When an individual contacts us, we may collect:
- Name;
- Email address;
- Telephone number;
- Employer or organization;
- Message contents;
- Support request details;
- Screenshots or files voluntarily provided; and
- Records of our response.
Website Information
When someone visits a Truehand or TimeSpace website, we may collect standard technical information such as:
- Internet Protocol address;
- Browser type;
- Device type;
- Requested pages;
- Referring website;
- Date and time of access; and
- Website error and security logs.
If the visitor submits a contact form, we collect the information entered into that form.
3. How We Collect Information
We may collect information:
- Directly from the individual;
- From the individual’s employer or another Business Customer;
- From managers or administrators authorized by the Business Customer;
- Automatically from the app, browser, or device;
- Through location and device permissions;
- From service providers supporting the Services; and
- From records generated while the individual uses TimeSpace.
4. How We Use Information
We may use personal information to:
- Create and administer user accounts;
- Authenticate users and manage permissions;
- Provide employee scheduling features;
- Record and manage timekeeping events;
- Verify that timekeeping events occur at approved workplaces;
- Manage attendance and workforce records;
- Compare scheduled and actual work activity;
- Send schedule, shift, attendance, and account notifications;
- Provide information to authorized managers and administrators;
- Respond to support inquiries;
- Diagnose technical problems;
- Maintain and improve the Services;
- Detect, investigate, and prevent fraud, abuse, unauthorized access, location manipulation, and security incidents;
- Maintain business, accounting, contractual, and legal records;
- Enforce our agreements and policies;
- Comply with applicable law, legal process, or lawful government requests; and
- Protect the rights, safety, and property of users, Business Customers, Truehand, and others.
We do not use workforce or location information to make employment decisions. Business Customers independently determine how they use information available through TimeSpace and remain responsible for their employment decisions.
5. How We Disclose Information
We may disclose information in the following circumstances.
Business Customers
Information associated with a workforce account may be available to the Business Customer that provided or authorized the account.
Depending on account permissions, workforce information may be available to authorized:
- Owners;
- Administrators;
- Managers;
- Supervisors;
- Payroll or human-resources personnel; and
- Other representatives designated by the Business Customer.
Business Customers determine which representatives receive access.
Service Providers
We may use service providers to support functions such as:
- Cloud hosting and data storage;
- Database and infrastructure services;
- Maps, geocoding, and location functionality;
- Email, text-message, and push-notification delivery;
- Authentication and account security;
- Application monitoring and error reporting;
- Customer support;
- Security and fraud prevention; and
- Professional legal, accounting, and technical services.
Service providers are permitted to process personal information only as necessary to provide services to us or as otherwise permitted by law. We require service providers handling personal information to maintain protections appropriate to the information they process.
Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with law, regulation, subpoena, court order, or legal process;
- Respond to a lawful government request;
- Investigate suspected fraud, abuse, or security incidents;
- Enforce an agreement or protect legal rights;
- Protect the safety of an individual; or
- Protect Truehand, our Business Customers, users, or the public.
Business Transactions
Information may be disclosed or transferred as part of a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar business transaction. Any recipient would remain subject to applicable privacy obligations concerning the transferred information.
With Consent or Direction
We may disclose information when the individual or Business Customer directs us to do so or otherwise provides consent.
6. Sale, Advertising, and Tracking
Truehand does not sell personal information.
We do not share personal information for cross-context behavioral advertising, targeted advertising by unrelated third parties, or data-broker activities.
TimeSpace does not use precise location information to deliver advertising or to infer sensitive personal characteristics.
We may use limited operational analytics to understand application reliability, security, and feature performance. These analytics are used to operate and improve TimeSpace rather than to advertise unrelated products based on activity across other companies’ apps or websites.
7. Data Retention
We retain personal information for as long as reasonably necessary to:
- Provide the Services;
- Maintain the Business Customer relationship;
- Fulfill the purposes described in this Privacy Policy;
- Follow the Business Customer’s documented instructions;
- Maintain security and prevent fraud;
- Resolve disputes;
- Enforce agreements; and
- Satisfy legal, regulatory, tax, accounting, employment, and wage-and-hour obligations.
Workforce and timekeeping records may need to be retained by a Business Customer for legal or business reasons. As a result, we may not be able to delete certain records solely at the request of an employee or other authorized user.
When information is no longer required, we may delete it, anonymize it, aggregate it, or allow it to expire through our normal retention and backup processes.
Information stored in system backups may remain temporarily until the relevant backup expires or is securely overwritten.
We may retain deidentified or aggregated information that cannot reasonably be linked to an individual.
8. Access, Correction, and Deletion
Employer-Managed Information
Individuals whose TimeSpace account was provided by an employer or other Business Customer should generally direct requests to that organization first.
The Business Customer may be responsible for responding to requests involving:
- Employee profile information;
- Scheduling records;
- Timekeeping records;
- Attendance information;
- Payroll-related records;
- Corrections to workforce records; and
- Deactivation of employer-managed accounts.
We will assist Business Customers with valid requests as required by our agreements and applicable law.
Requests to Truehand
Individuals may contact Truehand to request:
- Access to personal information we control;
- Correction of inaccurate information;
- Deletion of eligible information;
- Deactivation of an account;
- Information about our privacy practices; or
- Assistance identifying the appropriate Business Customer contact.

Please include enough information for us to identify the account and understand the request. We may need to verify identity or authority before processing a request.
We may deny or limit a request when permitted or required by law, including when information must be retained for legal compliance, security, fraud prevention, contractual obligations, or the Business Customer’s legitimate recordkeeping requirements.
Account Deletion
TimeSpace accounts are generally created or managed by a Business Customer.
An authorized user may request account deactivation or deletion by contacting the Business Customer or by emailing us at info@truehandtechnologies.com.
Deleting an account may not require deletion of all workforce records associated with that individual. For example, the Business Customer may be legally or contractually required to retain schedules, time records, attendance records, payroll-related information, audit logs, or records relating to disputes and investigations.
When account information is eligible for deletion, we will delete or deidentify it within a reasonable period, subject to verification, legal obligations, security requirements, and backup-retention cycles.
9. Location and Device Choices
Users can manage location permissions through their device settings.
Depending on the device, choices may include:
- Never allow location access;
- Allow location access only while using the app;
- Allow location access once;
- Allow background or always-on location access; and
- Use precise or approximate location.
The available options depend on the operating system and the TimeSpace features enabled by the Business Customer.
Turning off location access may prevent users from completing location-verified timekeeping actions.
Users can also manage:
- Push notifications through device settings;
- Biometric authentication through device security settings; and
- Certain account preferences through TimeSpace settings when available.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards may include:
- Encryption in transit;
- Encryption or equivalent protections for stored information where appropriate;
- Access controls;
- Role-based permissions;
- Authentication controls;
- Logging and monitoring;
- Security testing;
- Backup and recovery processes; and
- Vendor and service-provider controls.
No system for transmitting or storing information can be guaranteed to be completely secure. Users should protect their credentials, secure their devices, and promptly report suspected unauthorized access.
11. State Privacy Rights
Depending on where an individual resides and whether an applicable privacy law covers Truehand’s processing, the individual may have rights concerning personal information, including rights to:
- Know whether personal information is being processed;
- Request access to personal information;
- Request correction of inaccurate personal information;
- Request deletion of eligible personal information;
- Receive certain information in a portable format;
- Opt out of certain sales, sharing, or targeted advertising; and
- Appeal a denied privacy request.
Truehand does not sell personal information or use it for cross-context behavioral advertising.
Privacy rights may differ when information is processed in an employment context or on behalf of a Business Customer. In those circumstances, the request may need to be submitted to the employer or Business Customer.
We will not unlawfully discriminate against an individual for exercising an applicable privacy right.
12. California Privacy Information
California residents may request information about personal information collected, used, disclosed, retained, or deleted where applicable law provides such rights.
Truehand does not sell personal information and does not share personal information for cross-context behavioral advertising.
Precise geolocation information is used only to provide, secure, and support TimeSpace’s location-dependent workforce features and related business operations.

Do Not Track
Some browsers transmit “Do Not Track” signals. Because there is no universally accepted standard for responding to these signals, our websites may not respond differently when a Do Not Track signal is received.
We do not use TimeSpace to track individuals across unrelated websites or applications for targeted advertising.
13. Children’s Privacy
TimeSpace is a business and workforce-management service and is not directed to children under 13.
We do not knowingly collect personal information directly from children under 13. If we learn that personal information was collected directly from a child under 13 without legally sufficient authorization, we will take reasonable steps to delete it.
A Business Customer that intends to provide TimeSpace access to a minor is responsible for confirming that the use is lawful and that any required consent or authorization has been obtained.
14. Data Processing Locations
Truehand is based in the United States. Personal information may be processed and stored in the United States and in other locations where our service providers operate.
Privacy and data-protection laws in those locations may differ from those in the user’s place of residence.
15. Third-Party Services and Links
The Services may contain links to websites, applications, or services operated by third parties.
This Privacy Policy does not govern third-party services that are not controlled by Truehand. Users should review the privacy policies provided by those third parties.
16. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to TimeSpace, our information practices, legal requirements, or other operational needs.
When we make changes, we will update the “Last Updated” date at the top of the policy. If a change is material, we may provide additional notice through the Services, on our website, by email, or through the Business Customer.
Continued use of the Services after an updated policy becomes effective is subject to the updated policy, except where applicable law requires additional notice or consent.
